Spreadsheets and weekly meetings vs CRM Warden
In short: manual follow-up works for small teams but has two hidden costs: the
hours the manager spends every week and the work forgotten between meetings. As the team
and the number of records grow, that cost quickly exceeds the cost of automated follow-up.
How manual follow-up works
The usual method: the manager exports a list from the CRM (or asks salespeople for a spreadsheet), the team goes through it in the weekly meeting and decides "who will call this one?". Done well, it creates accountability, which is why many teams start here.
The hidden costs
- Manager time. Exporting, cleaning, walking through the list and chasing afterwards often takes a few hours a week. Multiply that by your own hourly rate.
- The gap between meetings. Noticing in next week's meeting that Tuesday's lead never got a response means missing the most important first days.
- Stale data. A spreadsheet is out of date the moment it's exported; the list discussed in the meeting often differs from the CRM as it is now.
- Dependence on one person. When the manager is away or busy, follow-up stops too.
Comparison
| Spreadsheet + weekly meeting | CRM Warden | |
|---|---|---|
| Frequency | Once a week | Every day, in business hours |
| Who notices? | The manager, in the meeting | The owner right away; their manager if unresolved |
| Data | A copy from export time | Continuously synced from the CRM |
| Manager time | A few hours a week | Reading the morning report |
| Cost | Invisible (time) | Monthly subscription |
When is manual follow-up enough?
- Two or three salespeople and only a handful of leads a week
- A manager who works alongside the team every day and checks the CRM personally
Otherwise, keep the weekly meeting but change what's in it: instead of building the list, discuss the exceptions in Warden's report. The meeting gets shorter and keeps the part where decisions are made.
