Finding and reviving silent deals

CRM Warden · 21 October 2026 · 5-minute read

In short: most deals aren't lost to a "no" but to silence. Set a silence threshold for each stage, list deals with no dated next step every week and go back to the quiet customer with a short, concrete question.

What is a silent deal?

An open deal with no activity (call, meeting, email, task) for a certain time. The threshold depends on the stage: 5 business days is a long silence after a proposal; 10 days can be normal while waiting for a contract signature. A simple starting point:

Stage Example silence threshold
First meeting / needs analysis 3 business days
Proposal sent 5 business days
Negotiation / decision 7 business days

Tune the thresholds to your own sales cycle; what matters is having one.

The earlier signal: no next step

There is a warning that comes before silence: a deal with no future-dated activity. If it isn't clear "what happens next, and when" after the last conversation, the deal is probably drifting into silence. Writing the next step with a date into the CRM at the end of every conversation prevents most silent deals in the first place.

The weekly scan: 15 minutes

  1. List open deals past their threshold (highest value first).
  2. Flag the ones with no next step separately.
  3. Make a one-sentence decision with the owner for each: continue, postpone or close.
  4. Actually close the deals you decide to close: dead records left open ruin the forecast.

How to get back to a quiet customer

"Just checking in" usually goes unanswered. Ask a short question that invites a decision instead:

Offering to close the file gets a reply surprisingly often; at the very least it removes uncertainty from the pipeline.

Common mistakes

CRM Warden finds silent deals and deals with no next step every day, notifies the owner and, when needed, their manager, and reports the value at risk.
